One place to run an animal physio practice, from booking to paid.

VetKinect is practice software we built for South African veterinary physiotherapists: the practice owner, the physios and the front desk.

Referral sources and commission lived in Excel. Clients signed paper indemnity forms that had to be scanned and filed. Notes, vet reports, invoices and payment chasing all lived in different places, so the same details were typed again and again.

What we built

Everything a physio practice does in a week, in one system that does the follow-up by itself.

Client onboarding by linkNew clients get a link by email or WhatsApp, fill in their own details on their phone and sign the indemnity with a finger. The signed copy is saved to their file.
A diary for the whole teamA column for each physio, colour-coded by service, with leave, public holidays and closures blocked out. Bookings land in each physio's Google Calendar.
Reminders that send themselvesClients hear when a booking is made, moved or cancelled, and get a reminder the day before without anyone at the desk sending it.
Treatment notes that fill themselves inEach service has its own note. A new session starts from the last one, so the physio only changes what's new.
Reports for vets and ownersPick the finished sessions and VetKinect builds a dated report on the practice letterhead, with its own link for the referring vet and the owner.
Invoices that get paidBill a session, a month or a block of sessions upfront. Clients pay online or by EFT, overdue reminders go out on schedule, and statements go out on the 1st.
Packages and commissionSell a course of sessions and each booking takes one off. A monthly summary per physio shows sessions, revenue and commission by referral source.
How it runs now

Reception books the session and the client gets a confirmation, then a reminder the day before. The physio finishes the note from the diary and sends the vet a report in one click. The invoice goes out, payment updates it, and anyone who forgets is reminded without anyone chasing.

“The report for the referring vet used to take me an evening. Now it builds itself from the session notes, and I read it, check it and press send.”

What's next

Two-way calendar sync and a phone app for the diary and notes on the road, then route planning with mileage for home visits and an exercise library for home programmes.
